This is a policy regulating how Reround Oy, corp. id. no 3616929-7 processes personal data. It covers the Reround website at reround.fi and the Reround app — the inventory application for Android, iOS and the browser — as well as our newsletters and our customer relationships (together, the "Services"). Reround Oy complies with all applicable laws concerning privacy and data protection, including but not limited to the general data protection regulation (EU) 2016/679. When you create an account with us, alternatively when you sign up for our newsletter or other marketing communication from us, you also consent to the processing of your personal data in accordance with this policy. You can withdraw your consent at any time, as a whole or in part, by contacting us. For any questions or concerns, reach us at info@reround.fi.
1. Which Personal Data Do We Collect and Process?
1.1 Personal Information You Provide
We collect Personal Information if you create an account to use our Services, use the Reround app, or communicate with us, as follows:
- Account Information: When you create an account with us, we collect the information associated with your account, including your name and contact information. In the Reround app you sign in with a Google or Microsoft account, and we receive your name, email address and profile picture from that provider; the app does not store a password of its own.
- Inventory Data: When you use the Reround app, you record inventory on behalf of your organisation — products, physical units, locations, condition grades, notes and status history. This is business data about the organisation's own assets, and it is attributed to the member who entered it.
- Photos: In the Reround app you photograph inventory items, or attach existing photos from your device's photo library. These photos are stored with the item they belong to. When you add an item, the app also sends its photos to Google's Gemini model to suggest the item's product type and attributes — see section 3 and section 6.
- Camera and photo library access: The Reround app asks for permission to use the camera in order to scan the QR stickers on items and to photograph inventory, and for access to your photo library in order to attach existing photos to an item. The app uses the operating system's photo picker, so it only ever receives the photos you choose. Both permissions are optional and are requested only when you use those features.
- Memberships: When you accept an invitation to an organisation or a property in the Reround app, we record that membership. It is what controls which inventory you can see and edit.
- Communication Information: If you communicate with us, we collect your name, contact information, and the contents of any messages you send.
1.2 Personal Information We Receive Automatically From Your Use of the Website
This section concerns the website at reround.fi. When you visit or interact with the website, we receive the following information:
- Log Data: Information that your browser automatically sends when you use our website. Log data includes your Internet Protocol address, browser type and settings, the date and time of your request, and how you interact with our website.
- Usage Data: We may automatically collect information about your use of the website, such as the types of content that you view or engage with, the features you use and the actions you take, as well as your time zone, country, the dates and times of access, user agent and version, type of computer or mobile device, and your computer connection.
- Device Information: Includes name of the device, operating system, device identifiers, and browser you are using. Information collected may depend on the type of device you use and its settings.
- Cookies: We use cookies to operate and administer our website, and to improve your experience of the website you visit. You can set your browser to accept all cookies, to reject all cookies, or to notify you whenever a cookie is offered so that you can decide each time whether to accept it. However, refusing a cookie may in some cases preclude you from using, or negatively affect the display or function of, a website or certain areas or features of a website.
- Analytics: We may use a variety of online analytics products that use cookies to help us analyze how visitors use our website and enhance your experience when you use the website.
1.3 What the Reround App Does Not Collect
The Reround app collects only what is described in section 1.1. In particular, the app:
- does not use or request an advertising identifier;
- does not request or use your location;
- does not collect anything in the background when it is not open;
- does not collect payment card or other payment information.
2. How Do We Store the Personal Data We Collect?
We may transfer to or share your personal data with our suppliers and subcontractors who help us provide the Service to you and to manage our daily operations. Our suppliers and subcontractors are not authorized by us to use or disclose your personal data except as necessary to perform services on our behalf or to comply with legal requirements and GDPR.
The Reround app is built on the following service providers:
- Google (Firebase): Firebase Authentication, Cloud Firestore, Cloud Storage and Cloud Functions host the app's account identities, inventory data and photos. The inventory database (Cloud Firestore) and the app's server-side functions (Cloud Functions) are located in the European Union.
- Google (Gemini, via Firebase AI Logic): receives downscaled copies of item photos in order to recognise an item's product type and attributes. See section 6.
- Mailjet: receives your name and email address in order to send invitation and access-removal emails on our behalf.
3. For which Purposes Do We Use the Personal Data We Collect?
We process your personal data for the following purposes:
1. Establish and administer customer relationships
- Find and communicate with contact persons (including contact persons at customers and potential customers)
- Create a demo account for potential customers, to be used by a physical person
- Create a customer account if the customer signs up for an account
- Onboard customers, including adding users, customer dialogues etc.
- Provide our services, including when customers add other users and when customers add email addresses intended to receive communication such as automatic reports etc.
- Provide the Reround app: keep an organisation's inventory records, store item photos, control which members can see and edit which inventory, and send invitation and access-removal emails
- Recognise inventory items automatically: when a member adds an item, up to five of its photos are downscaled on the device and sent to Google's Gemini model, which suggests the item's product type and attributes for the member to confirm or correct
- Provide support
- Manage invoicing and accounting
- Facilitate our customer relationship in other ways.
2. General marketing purposes
- Sending offers and marketing material to existing and potential customers. However, we never transfer your personal data to a third party for marketing purposes, and you have the option to opt-out from receiving marketing communication from us at any time.
- Sending newsletters and/or other marketing communications to customers and persons who have signed up to receive such communication from us. However, we never transfer your personal data to a third party for marketing purposes, and you have the option to opt-out from receiving such communication from us at any time.

4. Legal grounds for processing
We process personal data based on our legitimate interests and based on consent. Specifically, our processing of personal data for the purposes of establishing and administering customer relationships (point 1. above), including providing the Reround app, is based on our legitimate interests. Our processing of personal data for general marketing purposes (point 2.a. above) is also based on our legitimate interests, but, in the case of newsletters etc. (point 2.b. above), our processing is based on consent. Our processing of personal data for statistical purposes & further development (point 3. above) is based on our legitimate interests.
Furthermore, we process personal data as required by law (e.g. for accounting purposes).
5. How Long Do We Store the Personal Data We Collect?
For customers, we store the personal data during the time which the customer relation is active and one year thereafter, unless the customer has requested deletion of the personal data before that point in time. We store email for subscribers to our newsletters and other marketing communication for the time period during which the subscription is active. If you have opted out of receiving newsletters and marketing communication, we store information about such opt-out for the sole purpose of ensuring that we do not send you such communication which you do not wish to receive. Additionally, we may store the personal data for a longer time period as required by mandatory applicable law.
For the Reround app, an individual member's account data — name, email address, profile picture, memberships and pending invitations — is deleted immediately when the member deletes their account (see section 7). Inventory data, including item photos, belongs to the customer organisation rather than to the individual member: it is kept for as long as the customer relation is active and one year thereafter, as above, regardless of which members have since left.
6. Transfer of Personal Data
In connection with the services we provide, we need to transfer personal data to third parties, and in such cases, we always enter into a data processing agreement with the data processor. In case we transfer personal data outside the EU, such transfers are made under the EU standard contractual clauses.
In the Reround app, photos of inventory items are transferred to Google for processing by the Gemini model, as described in section 3. The photos are downscaled on your device before they are sent, and only photos of the item being added are sent. Photos may show incidental personal data, such as a person or a name plate in the background; avoid photographing such details where you can. Google processes these photos as our data processor.
7. Your Rights
You have the right to request information about which personal data we have collected about you and the right to request that these shall be corrected or destroyed, or that the processing shall be restricted. You also have a right to data portability.
To the extent that the processing is based on consent, you can withdraw your consent at any time, as a whole or in part.
Deleting your Reround account
You can delete your Reround account yourself at any time in the app: open Settings, choose Delete account and confirm. Your account is deleted immediately. If you cannot use the app, you can ask us to delete it by email. Our account deletion page explains both routes, what is deleted, what stays with your organisation and why.
